You are paying a Value Added Tax (VAT) on the registration fee because it is required by the laws and regulations of the EU and its member states. They establish that VAT must be paid on the fees in the country where the congress is held. Note that the Registration Fees for the virtual participation at the live event are subject to different VAT rules. They can be either subject to French VAT, or subject to the Reverse charge.
Possibly. Only business companies from the European Union and from these Non-European countries can claim back the German VAT. To recover the VAT you must provide the details of your company - name, address, VAT number or Tax ID - for all expenses invoices and submit all original documentation to your company for its processing. This includes such things as Registration, Lodging and Food invoices.
EU Companies
EU companies must contact the Tax Administration of their own country for instructions regarding the conditions and process to follow for reclaiming the German VAT. There are also minimum VAT amounts that must be met.
For the refund applications for one to three quarters by an EU company the minimum amount is EUR 400. If the refund application relates to a refund period of a calendar year or the remainder of a calendar year, the amount of VAT may not be less than EUR 50. Please note that these amounts refer to ALL the VAT from the expenses incurred FROM ALL ITS EMPLOYEES in Germany for this congress and any other business-related VAT incurred in Germany.
Non-European Companies
The non-European companies have to submit the application for VAT refund directly to the German Federal Central Tax Office. Normally, the application must be filed online via the BZStOnline-Portal - BOP. To be able to file applications, prior registration for the procedure is required. The Non-European companies must make sure their application is received at the latest by 30 June of the year following the year of the incurred expenses. There are also minimum VAT amounts that must be met.
The VAT refund must be at least EUR 1,000, unless the refund period is the calendar year or the last period of the calendar year. The refund for these refund periods must be at least EUR 500. Please note that these amounts refer to ALL the VAT from the expenses incurred FROM ALL ITS EMPLOYEES in Germany for this congress and any other business-related VAT incurred in Germany.
Pay attention the application for VAT refund must be supported by the Certification that the applicant is a taxable person registered for VAT or similar taxes issued by the tax authority from the country of his establishment (For example, in USA it is the form 6166 from IRS).

Reservation Policy
Confirmation of sponsorship and allocation of benefits (Exhibit space location, Event timeslots) will be allocated on a first come, first served basis.
Payment Policy

Safe Event Guidelines
SLAS will adhere to and publish Safe Event Guidelines developed in conjunction with the Event facility and applicable governing bodies. By registering for this Event, participants agree to abide by the guidelines in place at the time of the live Event. Safety guidelines will be communicated to registrants via email and the Event website in advance of arrival at the Event facility. SLAS reserves the right to remove non-compliant participants from the Event without refund.
Official Activities
All activities organized by companies involving participants in the Event must be approved by SLAS prior to being promoted or organized. SLAS may accept multiple sponsors for the items listed in the sponsorship opportunities, unless otherwise indicated. SLAS may modify the Event program without notice. Sponsors will make sure to follow the rules and regulation of SLAS and of the Radisson Blu Hotel.
Vendor Workshops
Speakers, moderators will be selected by the sponsoring company. Registration fees, accommodation and flights for speakers will be covered by the sponsoring company. All vendor workshops must be paid in full in advance of set up and the program details provided to SLAS according to published deadlines. Allocation of vendor workshop timeslots will be done on a first come, first-served basis or selected options.
Promotional and Exhibitor Activities
No sponsor may operate in a way that violates the rights of another sponsor. Exhibits must not project beyond the space allocated and may not obstruct the view or interfere with the traffic of other exhibits. All exhibits are to be conducted in a dignified manner. No soliciting of attendees in the aisle or any high-pressure sales pitch of any kind is permitted. Demonstrations and the distribution of literature and samples should take place inside the assigned booth space only. Any demonstrations at your booth that emit sound or odor must be stopped immediately if deemed disruptive to other sponsors in the hall. Booths are to be kept clean and in good order. No part of any exhibit, or signs relating thereto, shall be posted, nailed, or otherwise attached to columns, walls, floors, or other parts of the facility, in any way. Damage arising from failure to observe these rules shall be payable by the sponsors. Sponsors’ promotional activities are confined to the actual booth space purchased, or in areas approved by the SLAS.
Demonstrations, samples, materials, and sales activities (taking orders for future fulfilment) are permitted only within the confines of a sponsor’s rented space or after approval by the SLAS organizing secretariat. Samples or souvenirs may not be sold and may not be distributed in a manner which, in the sole and exclusive judgment of SLAS, blocks the aisles or in any way handicaps other sponsors or impairs the flow of attendees. No sales transactions are allowed on the exhibition hall floor; however, sponsors are permitted to take orders for future fulfilment.
SLAS reserves the right to refuse rental of exhibit to any company whose display of goods or services, in the opinion of SLAS, is not compatible with the general character and objectives of the Event.
Sound
Exhibits which include the operation of musical instruments, radios, sound projection equipment, or any noisemaking machines must be conducted or arranged so that the noise resulting from the demonstration will not annoy or disturb adjacent exhibitors and their patrons, nor cause the aisles to be blocked. Operators of noisemaking exhibits must secure approval of operating methods before the exhibit opens. SLAS shall be the sole judge of what constitutes appropriate sound levels.
Irregular Activities and Contests
If consistent with applicable country and local laws, prize contests and drawings are permissible. All giveaway items with the exception of the exhibitor’s product must be submitted for approval to SLAS three (3) weeks prior to the opening of the exhibition. Any prizes, draws or giveaways held or offered through the Event must be made available to all registered attendees and guests. Notification of winners is the sole responsibility of sponsors. Microphone announcements are not permitted in this exhibition. Exhibitors may not place the “stick-ons” on the attendees’ badges.
Robot Demonstrations
Exhibitors must adhere to rules and regulations set forth by SLAS pertaining to robotic, hazardous, or bio-hazardous demonstrations on the Event floor. View Robot Safety Policy.
Changes to Exhibit Space
SLAS reserves the right to make changes to assigned exhibit booth space without notice or approval by the exhibiting company. SLAS will undertake every measure to ensure originally reserved space is available to the exhibitor upon arriving at the venue. Exhibitor requested changes must be submitted in writing to SLAS in advance of the Event and are not guaranteed.
Photography and Videotaping
Photography (including camera enabled cell phones), videotaping or examining another sponsor’s equipment or display without that sponsor’s permission is forbidden. SLAS reserves the right to cancel participation of any exhibitor or sponsor who violates this policy.
Subletting of Space
Subletting of space is not permitted. Two or more companies may not exhibit in a single space. No sponsor may assign, sublet, or apportion his/her space to or with another business entity or individual. No sponsor may display or demonstrate products or services other than those manufactured or handled in the normal course of his business. Should any item from a no exhibiting entity be required for operation of a display, identification of such item shall be limited to regular name plate or trademark under which same is sold in the general course of business. Sharing space with individuals or companies not officially represented by the contracting sponsor is strictly prohibited and may result in eviction. In fairness to other sponsor, each company must have its own booth space. SLAS will make every effort to assign booth space to companies that wish to be located together or near each other.
Solicitation and Private Social Functions
Non-sponsors or representatives of non-exhibiting companies may not canvass or solicit business in any part of the Event venue area during the entire Event.
Sponsors of the Event are permitted to host private social functions for Event attendees at their own expense. Hosted parties or activities held by any company which includes Event attendees will not be permitted during any scheduled Event activity unless approved in writing by SLAS. SLAS must be notified in advance of any ancillary activities taking place during the Event regardless of location, time, or date. All private social functions must be approved by SLAS prior to being contracted.
Interpretation of Regulations
SLAS has the sole and exclusive right to make changes, amendments and additions to terms and conditions stated in this document and subsequent communications, as it deems necessary to the proper conduct of the sponsor and, thereupon, the general terms and conditions, as amended, shall govern the actions of all sponsors. Interpretation of the sponsor general terms and conditions and operational rules shall rest solely with SLAS, and the decisions of SLAS shall be final. SLAS may require sponsors to make such alterations to their displays as it deems necessary to the proper conduct of the exhibition. Failure to comply may result in immediate expulsion from the exhibition or the payment of reimbursement and compensation to SLAS by the sponsor for all expenses related to the alteration of a booth/display.
Installation and Dismantle
SLAS reserves the right to fix the time for the installation of a booth prior to the Event start and for its removal after the conclusion of the Event. Any space not claimed and occupied by one (1) hour prior to the published Event opening time may be resold or reassigned without refund. Installation of all exhibits must be fully completed by the opening time of the exhibition.
Exhibits must be staffed during all Event hours and may not, to any extent, be dismantled before the Event closing. Any early dismantling or packing shall be considered a breach of this agreement and may affect future applications. SLAS however, reserves the right to make the final determination of all space assignments in the best interest of the exhibition.
Participation Terms & Conditions
SLAS Show Management reserves the sole right to render all interpretations, amend and enforce these regulations and to establish all further regulations not specifically covered below to assure the general success and wellbeing of the Show. Each Exhibitor, for himself, his employees, and his contractors, agrees to abide by these regulations and by any amendments or additions hereafter made by Show Management. Show Management reserves the right to decline, prohibit, deny access, or remove any exhibit, which in its sole judgment is contrary to the character, objectives, and best interests of the Show or suitable for its attendee audience. This reservation includes, but is not limited to, any violation of any public policy or these rules and regulations and extends to persons, things, printed matter, products, and conduct. SLAS reserves the right to refuse applications of concerns not meeting standards required or expected, as well as the right to curtail exhibits or parts of exhibits that reflect against the character of the meeting.
Show Management’s decision and interpretation shall be accepted as final in all cases.
Fire Regulations
All fabric, carpet and plastic exhibit booth material must be fire retardant. Oil cloth, tarpaper, nylon, certain plastic, or other materials that cannot be made flame retardant are prohibited. No open flames are permitted without a fire department permit. SLAS reserves the sole and exclusive right to alter the exhibit area layout as it deems necessary to comply with local and building fire regulations.
Liability
The organizers will provide security service during Event hours. Neither SLAS, nor its sponsors, members, officers, representatives, agents, or employees, will be responsible for any injury, theft, loss, or damage that may occur to the exhibits. If said premises are destroyed by fire, climatic elements or by any other cause, or by government intervention or regulation, military activity, strikes or any other circumstances which make it impossible for the Event to take place, the contract shall terminate, and the sponsor shall waive any claim for damages or compensation except the pro rata return of the amount paid for space, after deduction of actual expenses incurred in connection with the Event. Companies are required to make their own arrangements with respect to insurance and organization of their booth.
Assumption of Risks
I acknowledge my Event participation may expose me to various risks and dangers. I hereby assume all risks associated with my Event participation, including for personal injury, death, loss of or damage to my property, or any other loss.
Waiver and Release of Claims, Liabilities, and Actions
To the extent permitted by applicable law, I hereby waive all claims against, release from all liability (including for negligence), and agree not to bring any action against, SLAS or its directors, officers, employees, agents, volunteers, representatives, contractors, successors, and assigns (collectively, "Released Persons") for personal injury, death, loss of or damage to my property, or any other loss related to my Event participation.
Defense and Indemnification
I shall defend and indemnify SLAS and the Released Persons from all losses, liabilities, claims, and actions (including reasonable attorney's fees and litigation expenses), related to: (i) my acts or omissions; (ii) my Event participation; (iii) the rights granted by me to SLAS under this Agreement; or (iv) my breach of this Agreement.
Statement of Conduct
SLAS has adopted the following Statement of Conduct. By agreeing to the terms and conditions within Event registration, you are agreeing to abide by this Statement of Conduct. SLAS reserves the right to remove a non-compliant participant from the Event without refund.
Event Cancellation
SLAS reserves the right to cancel this Event due to circumstances beyond the control of the organization. In the Event of cancellation, SLAS will do its best to make attendees aware of the cancellation in a timely fashion. Refunds of exhibition fees are not guaranteed in these circumstances, but SLAS will make every effort to refund fees less expense incurred by SLAS at the time of cancellation.
Data Protection & Privacy Policy
In accordance with Data Protection Laws, including without limitation European data protection regulation, in particular Regulation (EU) No. 2016/679 on the protection of natural persons with regard to the processing of personal data, SLAS, as data controller, processes the exhibitor/sponsor’s personal data for the purposes of (i) managing and organizing the event, in particular the management of exhibitor/sponsor’s stand (ii) managing and organizing prospecting and loyalty (iii) enabling the exhibitor/sponsor to benefit from our services (iv) enabling the exhibitor/sponsor to receive our news. A Data Processing Agreement or Standard Contractual Clauses regulates in depth the contractual obligations of the data processing between SLAS and the exhibitor/sponsor.”
In any event, the exhibitor/sponsor acknowledges compliance with Data Protection Laws, including without limitation European data protection regulations for its own processing, in particular Regulation (EU) No. 2016/679 on the protection of personal data, foremost among which the integrity and confidentiality of data communicated by participants and compliance with their data-retention periods. In case of communication to SLAS by the exhibitor/sponsor of a personal data file, the exhibitor/sponsor acknowledges having informed and obtained the consent of the person(s) concerned by this communication.
